This Privacy Policy describes how hausCRM, a product of Everseed Ventures ("Company," "we," "us," or "our"), collects, uses, stores, and protects information when you access or use our platform at www.hauscrm.com and any related services (collectively, the "Service"). By using the Service, you agree to the practices described in this policy.

Definitions and Roles

  • "Subscriber" refers to a licensed real estate professional or brokerage that maintains a hausCRM account. Subscribers are the data controllers of Client Data, as defined below.
  • "Processor" refers to Everseed Ventures, which processes Client Data solely on behalf of, and under the instructions of, the Subscriber. We act as a data processor and do not own, control, or make independent decisions regarding Client Data.
  • "Client Data" means any information pertaining to a Subscriber's clients — including names, contact details, preferences, voice recordings, transcripts, and property interactions — that is entered into or generated by the Service.
  • "End User" refers to a Subscriber's client or prospect who may interact with shareable property links or other Subscriber-generated content.

Information We Collect

Account Information

When a Subscriber creates an account, we collect name, email address, phone number, brokerage affiliation, and billing information necessary to provide the Service.

Voice Recordings and Transcripts

Subscribers may submit voice recordings through the Service. These recordings are transmitted to third-party AI providers for transcription and analysis. Transcripts are generated and stored within the Subscriber's account.

Client Data

Client profiles, preferences, budgets, property matches, and related information are generated from Subscriber voice recordings using AI. This data belongs to the Subscriber and is processed by hausCRM on the Subscriber's behalf.

Usage and Analytics Data

We collect device information, IP addresses, browser type, pages visited, feature usage patterns, and interaction data to operate, maintain, and improve the Service.

Cookies and Tracking Technologies

We use strictly necessary cookies for authentication and session management. We may use analytics cookies (such as Google Analytics) to understand Service usage. You may disable non-essential cookies through your browser settings.

How We Use Information

  • To provide, operate, and maintain the Service, including voice transcription, AI-powered profile extraction, property matching, and personalized property page generation.
  • To communicate with Subscribers regarding their account, product updates, billing, and support inquiries.
  • To analyze usage trends and improve the Service's functionality, performance, and user experience.
  • To detect, prevent, and address fraud, abuse, security incidents, and technical issues.
  • To comply with applicable laws, regulations, and legal processes.

AI Processing and Third-Party AI Providers

hausCRM uses artificial intelligence to process voice recordings, generate client profiles, match properties, and create personalized content. You acknowledge and agree to the following:

  • We may transmit voice recordings, transcripts, and related data to one or more third-party AI providers — including but not limited to Google (Gemini), OpenAI, Anthropic (Claude), and other providers — for processing. The specific provider(s) used may change at any time without notice as we optimize for quality, cost, and availability.
  • AI-generated content — including client profiles, property descriptions, match scores, and recommendations — may contain errors, inaccuracies, or omissions. hausCRM does not guarantee the accuracy, completeness, or reliability of any AI-generated output.
  • AI-generated content does not constitute real estate advice, appraisals, or professional recommendations. Subscribers are solely responsible for verifying AI-generated information before using it in any professional capacity.
  • Third-party AI providers may process data according to their own policies. We select providers that offer data processing agreements and do not use customer data for training, but we cannot guarantee how third parties handle data once transmitted.
  • Subscribers should review all AI-generated content for accuracy before sharing it with clients or using it in transactions.

Data Ownership and Processing

  • Subscribers retain full ownership of all Client Data. Everseed Ventures processes Client Data solely to provide the Service and has no independent rights to Client Data.
  • We will not sell, rent, license, or otherwise disclose Client Data to third parties for their own purposes. Data is shared with third-party sub-processors only as necessary to provide the Service (e.g., AI processing, cloud hosting).
  • Upon termination of a Subscriber's account, Client Data will be deleted within 30 days unless a longer retention period is required by law or requested by the Subscriber for data export purposes.

Third-Party Sub-Processors

We engage the following categories of sub-processors to provide the Service:

  • Cloud Infrastructure: Google Cloud Platform (Firebase) for hosting, database storage, authentication, and file storage.
  • AI Processing: One or more AI providers (currently including Google Gemini) for voice transcription, natural language processing, and content generation.
  • Analytics: Usage analytics services to understand how the Service is used and identify areas for improvement.
  • Payment Processing: Third-party payment processors for subscription billing. We do not store full credit card numbers on our servers.

A current list of sub-processors is available upon request. We will notify Subscribers of material changes to sub-processors.

Data Retention

  • Account information is retained for the duration of the Subscriber's active account and for up to 12 months following account closure for legitimate business purposes.
  • Client Data is retained for the duration of the Subscriber's active account and is deleted within 30 days of account termination, unless otherwise required by law.
  • Voice recordings are retained only as long as necessary to complete transcription and processing, after which the original audio files are deleted. Transcripts may be retained within the Subscriber's account for the duration of their subscription.
  • Usage and analytics data may be retained in anonymized or aggregated form indefinitely for product improvement purposes.

Data Security

  • We implement industry-standard technical and organizational measures to protect data, including encryption in transit (TLS) and at rest, access controls, and regular security assessments.
  • No method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect personal data, we cannot guarantee absolute security.
  • In the event of a data breach that affects Client Data, we will notify affected Subscribers without undue delay and in accordance with applicable law.

Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete personal data.
  • Deletion: Request deletion of your personal data, subject to legal retention requirements.
  • Portability: Request your data in a structured, commonly used, machine-readable format.
  • Opt-Out: Unsubscribe from marketing communications at any time via the link in our emails or by contacting us.
  • Restriction: Request that we restrict processing of your personal data under certain circumstances.

For Client Data, End Users should direct privacy requests to the Subscriber (the real estate professional) who controls their data. Subscribers may contact us to facilitate such requests.

End User Privacy

  • End Users who receive shareable property links or interact with Subscriber-generated content should be aware that their interactions (such as page views and engagement data) may be tracked and made available to the Subscriber.
  • End Users' personal information is controlled by the Subscriber. Any questions about how a Subscriber uses End User data should be directed to the Subscriber.

Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child, we will take steps to delete it promptly.

Canadian Privacy Rights (PIPEDA)

Everseed Ventures is based in Alberta, Canada, and complies with the Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA). You have the right to access your personal information held by us, request corrections, and withdraw consent for its collection, use, or disclosure, subject to legal and contractual restrictions. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. International Data Transfers

Everseed Ventures is based in Alberta, Canada. Data may be processed and stored in Canada, the United States, or other jurisdictions where our service providers operate. By using the Service, you consent to the transfer of your data to these jurisdictions, which may have different data protection laws than your country of residence.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify Subscribers of material changes by email or through the Service. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
